Workflow Automation
Stop running your business on spreadsheets and email threads.
Meritec's workflow automation platform digitises the operations holding your growth back - in weeks, not months. Configured for your sector. Enhanced with AI. Built in the UK since 1996.
If your operations team is the bottleneck, the platform is the problem.
Most growing UK businesses don't have a software problem. They have a process problem dressed up as a software problem. Quotes get stuck in inboxes. Approvals sit in WhatsApp. Job sheets live on paper. Compliance evidence is scattered across drives. Every team has a workaround, and nobody owns the whole picture.
That's what workflow automation fixes. Not by adding another app - by digitising the work itself, end-to-end, so it flows.
We see the same patterns across every sector we serve:
- Manual handoffs between teams that lose information at every step
- Compliance and audit trails reconstructed after the fact, not captured in real time
- Reporting built from chasing people, not pulling data
- Onboarding, approvals and case progression that depend on who's in the office
- Spreadsheets that have become load-bearing infrastructure
- Off-the-shelf software that fits 70% of the job and ignores the rest
Workflow automation, defined properly.
Workflow automation is the practice of digitising a sequence of business activities - the people, decisions, data and documents involved - so the work moves forward without manual chasing, re-keying or guesswork.
At Meritec, that means three things working together:

A configurable platform.
Our low-code platform is the engine. It handles forms, rules, approvals, integrations, dashboards, audit trails and mobile access - out of the box. We don't custom-build the engine for every client. We configure it.

Sector-specific configuration.
We've productised the platform into Orchestrate - pre-configured workflows for construction, legal, accountancy and insurance. You start from a working solution and tune it to your business, rather than starting from a blank canvas.

AI infusion where it pays.
We embed AI agents into workflows where they materially reduce manual effort - document extraction, classification, drafting, anomaly detection. AI isn't the product. It's a capability inside the product, used pragmatically.
The result: operations that scale with your business, not operations that hold it back.
Six capabilities. One platform. Configured for your operation.
Process design and orchestration:
Map and automate end-to-end processes - across departments, systems and people. Rules engine, conditional logic, role-based routing, parallel workflows.
Forms and data capture:
Replace paper, PDFs and Excel with structured digital forms. Mobile-enabled, offline-capable, validated at the point of entry.
Integration and data flow:
Connect to the systems you already run - Xero, Sage, Microsoft 365, finance and HR systems, CRMs, sector-specific tools. Data moves once, automatically.
Dashboards and reporting:
Real-time visibility of work in progress, exceptions, throughput and SLA performance. Reporting built from live data, not from chasing people.
AI infusion:
Document extraction, classification, drafting and anomaly detection - embedded into workflows where they reduce manual effort, not as a layer bolted on top.
Audit, security and compliance:
Full audit trail. Role-based access. ISO 27001-aligned controls. UK-hosted. GDPR-ready by design - not by retrofit.
We build for businesses where operations are the engine of growth.

A UK platform with a 30-year track record - and a proven exit story.
Meritec has been building workflow software in the UK since 1996. We've done this through three platform generations, two recessions and one pandemic. The platform is ours. The IP is ours. The team is in the UK.
We co-created CPOMS in 2012 - built on the same workflow foundations that power Orchestrate today. CPOMS scaled from one school to over 12,500 schools across 35+ countries before its sale in 2018. The ethos & approach that scaled CPOMS is the same behind Orchestrate.
Today, the Meritec platform powers workflows for some of the UK's largest Councils, professional services and trade businesses, including through our white-label partnership with Red Flag Alert. When buyers ask whether our platform can handle scale, the honest answer is: it already does.

Proprietary platform - no third-party dependency
Meritec owns its platform IP. Your workflows aren’t subject to a third-party vendor’s roadmap changes or pricing decisions.
Three steps. Weeks, not quarters.

Diagnostic.
We map your current process - where work gets stuck, where data gets lost, where compliance gets risky. You leave the session with a written diagnosis whether or not you proceed.

Configure.
We start from the relevant Orchestrate template and configure it to your operation. You see working software in weeks, not months. No blank-canvas custom builds.

Roll out and refine.
We deploy in a controlled rollout with your team, train your users, and iterate based on what real use surfaces. Then we keep improving - workflow automation is a programme, not a project.
Workflow automation: the questions buyers actually ask.
What is workflow automation?
Workflow automation is the practice of digitising a sequence of business activities - the people, decisions, data and documents involved - so work moves forward without manual chasing, re-keying or guesswork. It typically combines forms, rules, integrations and dashboards into a single, end-to-end digital process.
How is workflow automation different from RPA or task automation?
RPA (robotic process automation) automates a single task - usually mimicking a human clicking through a screen. Workflow automation orchestrates the whole process: who does what, when, with which data, against which rules. RPA can be one component inside a workflow. Workflow automation is the bigger picture.
How long does a workflow automation project take?
With Meritec's Orchestrate platform, most clients see working software within 6–12 weeks of project start. We deploy from a pre-configured sector template rather than building from scratch, which is what makes that timeline realistic. Bespoke custom builds take longer; we don't lead with those.
Do we need to replace our existing systems?
No. Meritec integrates with the systems you already run - finance (Xero, Sage), Microsoft 365, CRMs, HR systems and sector-specific tools. The platform sits across your stack as the orchestration layer; it doesn't ask you to rip and replace.
Is the platform secure and UK-hosted?
Yes. The platform is UK-hosted, GDPR-compliant by design and aligned with ISO 27001 controls. Audit trails, role-based access and encryption at rest and in transit are standard.
How does AI fit in?
We embed AI inside workflows where it materially reduces manual effort - extracting data from documents, classifying inbound items, drafting standard responses, flagging anomalies. AI isn't a separate product to buy. It's a capability inside the platform, used where the maths makes sense.
How is workflow automation priced?
Meritec prices on a configuration and deployment basis, plus an ongoing platform licence sized to user count and modules in use. We share indicative ranges in the diagnostic session - there are no surprise day-rate invoices.
